We're excited to introduce Sites For Scouts -- a modern troop management platform built specifically for scout leaders who are tired of spreadsheets, group texts, and outdated tools.
# Here's what's ready for your troop today:
Your Troop Dashboard
- Every user gets a personalized dashboard based on their role. Admins see a financial overview of all scout accounts, troop accounts, and current trips at a glance. Leaders see the trips they manage and their signups. Parents see their scouts' balances, upcoming trips, and recent transactions -- all in one place.
Scout Accounts & Bookkeeping
- Each scout gets their own account with a running balance. Leaders can add charges and credits individually, in bulk, or import transactions from a CSV file. Transfer funds between accounts when needed. Parents can view their scout's balance and recent activity anytime.
Family Members
- Build out each scout's family list -- parents, siblings, and other adults. When it's time to sign up for a trip, the family list makes it easy to select exactly who's going. Leaders and parents can both manage these family connections.
Trips & Events
Create trips with all the details that matter: destination, departure and return dates, departure location, estimated cost, and participant limits. Control visibility (public or private) and set signup open/close windows so families know exactly when to sign up.
- Payment schedules-- Break trip costs into scheduled payments (deposit, installments) with separate pricing for youth, adults, and leaders when needed. Post charges to all enrolled participants with one click when a payment is due.
- Signup management-- Parents sign up their scouts and family members right from the trip page. Leaders review and approve or deny each signup. Need to waive fees for a volunteer or campership? Toggle the comp option to zero out their charges automatically.
- Billing reports-- Every trip has a billing section showing each participant's total charges, credits, payments applied, and remaining balance. Leaders see the full picture; parents see only their own family's billing.
- Adjustments-- Post credits, refunds, or adjustments to individual participants directly from the trip page.
- Balance allocation-- When a scout has funds in their account, leaders can allocate those funds toward specific trip balances. Auto-allocation is also available as a site-wide setting.
Automatic Email Notifications
Parents and leaders get notified automatically when it matters:
- A scout signs up for a trip (leaders get notified)
- Trip details are updated (parents get notified, with a 15-minute buffer so rapid edits don't flood inboxes)
- Charges are posted to a scout's account
- A balance is updated or goes negative
- Transactions are imported
- A signup is approved
- Financial emails include your troop's payment instructions so parents always know how to pay.
Payment Instructions
- Not ready for online payments yet? No problem. Add your Venmo handle, Zelle address, check mailing instructions, or any combination -- and it automatically shows up wherever parents see a balance due: on their scout's account page, in trip billing, and in every financial email.
Troop Accounts
- Track shared troop funds with dedicated accounts for different purposes -- general funds, event/trip accounts, fundraiser accounts, and more. Organize them with custom categories.
Member Management
- Invite parents and leaders by email. Manage the full roster with role-based permissions -- decide exactly which leaders can manage trip logistics, approve signups, handle finances, or edit scout info. Each capability can be toggled individually per leader.
Resources
- Share important files, links, and informational pages with your troop. Upload documents, link to external resources, or create pages with troop-specific information. Leaders control what's published; everyone can search and access what they need.
Troop Website
- Every troop gets its own website with customizable branding, homepage content, photo gallery, and public leader directory. Parents and leaders access the private dashboard; prospective families see your public site.
Settings & Customization
- Admins can configure unit details, website appearance, gallery, leader display settings, account categories, trip defaults (like roster visibility), and payment instructions -- all from a central settings hub.
